Set the print area, choose the correct orientation and paper size, reduce margins, then set Width to 1 page while leaving Height automatic. Avoid forcing a very long sheet onto one physical page.
Define what actually needs printing
Blank formatted rows, helper columns, and distant notes can expand the used range and make Excel shrink useful cells. Select the relevant table and set it as the print area before adjusting scale.
Open Print Preview early. It shows whether the problem is width, height, or an unexpected extra page.
Fit width before height
For most reports, keeping all columns on one page is useful while allowing rows to continue onto later pages. Set Width to 1 page and Height to Automatic. Forcing both dimensions to one page can make a long sheet unreadable.
- Set the intended print area.
- Choose Portrait for narrow tables or Landscape for wide tables.
- Select the paper size loaded in the printer.
- Use Narrow margins if the content needs a little more room.
- Set Fit to 1 page wide by Automatic pages tall.
- Repeat header rows on each page for multi-page reports.
Improve the sheet instead of shrinking it
Hide nonessential columns, shorten headings, wrap text deliberately, and set sensible column widths. A small structural change often improves readability more than another reduction in scale.
Check the scaling percentage in Print Preview. If it falls much below about 70%, consider a larger paper size or multiple pages. The acceptable limit depends on font size and audience.
Export a PDF for a final check
Export the print area to PDF and inspect it at normal size. Confirm that totals, footnotes, and the last columns appear. A PDF also preserves the intended pagination when another person prints the report.
Do not treat PDF export as a substitute for checking the selected paper size and margins.
Follow the desktop layout controls
Select the intended table and set its print area from Page Layout. In Scale to Fit, set Width to 1 page and Height to Automatic. Choose the actual sheet size and orientation before checking File > Print. The setting preserves one-page width while allowing a long report to continue vertically.
Excel for Mac exposes page-width and page-height controls through its page setup workflow. For Excel in a browser, inspect the available print settings rather than assuming the desktop ribbon is identical; open in desktop Excel when the required layout controls are unavailable.
Try an illustrative report instead of your only business file
Create a copy with columns Date, Item, Quantity, Unit price and Total, followed by enough rows to span several pages. Give the last row a recognizable label such as END OF SAMPLE. Set only that table as the print area.
Compare Fit Sheet on One Page with one page wide and automatic height. The first option compresses the entire long report onto one sheet; the second can preserve much more readable text. Neither option guarantees readability if the table is itself extremely wide.

Check the final page as carefully as the first
Find END OF SAMPLE in the preview and confirm the rightmost Total column is present. If blank pages appear, clear an accidentally oversized print area and inspect distant formatted cells. Repeat the header row when the report spans pages.
Compare a printed line of text with your intended minimum readable size. A 10-point source font printed at 60% is approximately 6 points; this multiplication is a useful warning, not a universal accessibility threshold. Reduce unnecessary columns or use larger paper before shrinking further.
