Export with font embedding enabled, use fonts whose licenses allow embedding, and inspect the PDF’s font list before sending it. If a font cannot be embedded, replace it with a well-supported alternative.
Why substitution happens
A PDF can embed the font program it needs or refer to a font expected on the viewing system. When the font is unavailable and not embedded, the viewer substitutes another typeface. Different character widths can cause line wrapping, clipped text, or changed pagination.
Some applications also simulate bold or italic styles. Those simulations may not survive export consistently.
Check whether fonts are embedded
In Adobe Acrobat, open File, Properties, and Fonts. Embedded or Embedded Subset should appear after the font name. A subset contains only the characters used in the document and is normal for many workflows.
Check the exported PDF—not just the source document—on a second device if the file will be distributed widely.
Use a reliable export process
Prefer the application’s Export as PDF command over taking screenshots or using an unknown online converter. Choose a print-quality preset when the file is intended for professional output.
- Finish editing before export.
- Replace missing or restricted fonts.
- Enable PDF/A or font embedding only when appropriate for the workflow.
- Export to a new file.
- Inspect fonts, page count, links, and line breaks in the resulting PDF.
When outlining text is appropriate
Professional design software can convert letters to vector outlines. This prevents substitution but makes the text harder to edit, search, select, and access with assistive technology.
Keep an editable source and use outlining only for specific print-production needs—not as the default fix for every PDF.
Use a line-break test to distinguish substitution from layout changes
In a working document, choose a paragraph with a line ending near the right margin and include the numerals 0, 1 and 8, a currency symbol and an accented character. Export, then compare that paragraph in the source and PDF. If the line ending moves, inspect the font list and page dimensions before changing the font size.
If every character is present but copying produces wrong text, the problem may involve character mapping rather than visible substitution. Outlining can preserve appearance but removes normal text behavior, so retain an accessible text-based version when readers need search or assistive technology.
