Choose the exact envelope size, check the printer diagram for orientation and printable side, and print one test envelope. If the entire address is uniformly displaced, adjust the feed or address position; if it is clipped, move it inside the printer’s printable area.
Match the document to the envelope
Envelope names are not always enough because regional formats and custom stationery differ. Confirm the physical width and height, then choose that exact size in both the document and printer settings.
Enter the delivery and return addresses in the envelope tool when possible. This keeps their positions tied to the selected envelope rather than treating the envelope like an ordinary full-size page.
Follow the printer feed diagram
Printers differ on whether envelopes enter long edge or short edge first, face up or face down, and flap left or right. Use the diagram on the tray or the printer manual rather than guessing.
- Remove curled or damaged envelopes.
- Set the paper guides so they touch without bending the envelope.
- Select the appropriate envelope or heavy-paper media type.
- Load one envelope in the indicated orientation.
- Print a test with non-sensitive sample addresses.
- Allow the envelope to exit before loading a batch.
Correct position and clipping separately
If the entire layout is shifted, revisit the feed method and the envelope tool’s position controls. If only an edge is missing, the address block may be outside the printer’s supported printable area.
Do not solve clipping with borderless mode. Most office printers do not support borderless envelope printing, and enlarging the layout can make the crop worse. Move the block inward instead.
Prevent jams and poor toner adhesion
Avoid envelopes with metal clasps, exposed adhesive, thick overlapping seams, or windows unless the printer manufacturer lists them as compatible. Laser printers add heat, so use envelopes approved for laser printing when applicable.
For invitations or valuable stationery, test on an inexpensive envelope of the same size and construction. Differences in thickness and seams can change feeding behavior.
Map feed direction with a disposable paper test
Before using an envelope, mark one corner of a plain test sheet and record which face and edge the printer uses. Compare that result with the feed icon in the envelope dialog and the manufacturer’s envelope instructions. Do not assume a screen icon describes your manual tray exactly.
If the address is upright but in the wrong position, correct the envelope size or address offset. If it is upside down, investigate feed orientation. Avoid repeated trials on an envelope that has curled or loosened at the flap; damaged stock may feed unpredictably.
