Applies to: Windows 11 Settings and Microsoft’s documented printer troubleshooting. Queue menus vary by Windows build and driver; this is not a claim of testing every printer or build.
Check that the printer is awake and connected, then open its queue in Windows Settings. Cancel only your stuck jobs and run the printer troubleshooter in Get Help. Clear Pause or Offline only if your queue exposes those controls; remove and reinstall the device after simpler checks fail.
Confirm the physical connection first
An offline status means Windows cannot currently communicate with the selected queue. It does not automatically mean the printer is broken.
For USB, reconnect the cable directly to the computer and try another port. For Wi-Fi, print a network status page from the printer and confirm it is on the same network as the computer. Guest networks often block devices from seeing one another.
Clear the queue and offline mode
Open Settings, Bluetooth & devices, Printers & scanners, select the printer, and open the print queue. Remove failed jobs. If the queue exposes legacy Pause Printing or Use Printer Offline controls, clear them when appropriate. Otherwise continue with the current Settings or Get Help workflow below.
- Save any open documents.
- Cancel stuck jobs from the Windows queue.
- Turn the printer off, wait 20 seconds, and turn it on.
- Restart the computer.
- Send a one-page test document.
Check that you selected the right queue
Windows may keep an old queue after a printer changes network address or is reinstalled. Similar names such as “Printer,” “Printer (Copy 1),” and a driver-specific queue can point to different connections.
Print a test page from Printer properties. If one queue works, remove only the stale duplicate after checking that no other user depends on it.
Re-add the printer last
Remove and add the printer only after connection and queue checks. Download drivers from the printer manufacturer rather than a third-party driver site. On managed workplace computers, ask the administrator before changing ports or drivers.
If the printer repeatedly goes offline after sleeping, reserve its network address in the router or use the manufacturer’s recommended standard TCP/IP setup.
Use the current Settings route, then branch by symptom
In Windows 11, open Settings, Bluetooth & devices, Printers & scanners, choose the affected device and open its print queue. Microsoft also recommends the printer troubleshooter in Get Help. If you do not see the legacy Printer menu or Use Printer Offline option, do not keep searching for a control that your queue may not expose.
Write down the Windows build, printer model, connection type and exact message before changing a driver. On a shared office queue, cancel only jobs you own and ask the administrator before restarting a shared service.

Preserve a working setup before reinstalling
If you find duplicate queues, compare their device details before deleting one. A similarly named queue may belong to a different office or connection. Note the working paper defaults and any authorized network-port settings so you can restore them.
After reconnecting or re-adding the printer, print a simple test page from its properties, followed by a page from the original application. This separates successful device communication from a document-specific failure.
Stop and seek device or administrator support if the printer reports a hardware error or changes would affect other users. Installing a driver from a random download site is not a diagnostic step.
