How to Scan Multiple Pages into One PDF

Prepare before scanning

Remove staples and sticky notes, flatten folded corners, and place pages in final reading order. If using an automatic document feeder, check its page capacity and supported paper weights.

Choose 300 DPI for ordinary text, grayscale for black text with shades or stamps, and color only when color carries information.

Use the multi-page workflow

Scanner applications use different labels, but the workflow is similar. Select PDF, turn on the single-document option, scan the first batch, add any remaining pages, reorder thumbnails, and save only after reviewing the set.

1. Scan one test page and check orientation and legibility.
2. Load pages consistently face-up or face-down as marked on the feeder.
3. Enable blank-page removal only after testing it with lightly printed pages.
4. Review page count, order, rotation, and readability.
5. Save a master copy before compressing or emailing it.

Fix double feeds and missing pages

Prepare the stack as the scanner manufacturer recommends and adjust the guides so they touch without bending it. Worn rollers, glossy sheets, receipts, and mixed sizes are common causes of double feeds.

Compare the final PDF page count with the original stack. For critical records, check every thumbnail rather than trusting automatic blank-page detection.

Make the PDF searchable

Optical character recognition can add a hidden text layer, allowing search and copy operations. Keep the original page image so formatting and signatures remain visible.

OCR is not perfect. Verify names, dates, totals, and small text before relying on extracted content.

A concrete route on a Mac

Connect a supported scanner. In System Settings, open Printers & Scanners, choose the scanner and open its scanning controls. Show Details if needed, set the destination and filename, and choose PDF as the format. Apple documents a combine-into-one-document option for PDF scans; enable it when offered.

For a feeder, first test a small ordered set. For a flatbed, add subsequent pages through the scanner’s continuing scan workflow, keeping the intended document selection. If this software produces separate PDFs instead, finish capture and combine copies in Preview using page thumbnails. Verify the result after saving.

Use a page manifest to catch omissions

Before scanning, write a short manifest: cover, pages 1–4, signed appendix. A six-page total is necessary but not sufficient: a duplicated page can hide a missing one. Compare the first and last words of adjacent pages when the source has no printed page numbers.

Keep blank-page removal off for the first batch if the original includes faint writing or intentionally blank separators. A lightly signed back page may otherwise disappear.

What to do when the result splits into separate files

Check that you selected PDF rather than an image format and that the combine option belongs to the active scanner configuration. Avoid repeatedly scanning the original while experimenting: keep the captured files and combine working copies if your application supports it.

If the output has searchable text, copy a phrase from more than one page and compare it with the visible image. OCR is optional for assembling the pages and is not proof that the packet is complete.
